Sample Email Policy Template


The following policies are now effective for all employees of company name.


Messages that are created, sent or received using the company's Email system are the property of the company.

Email technology is provided for business communications - please insure that Emails primarily relate to company business matters.

It is permissible to use the company Email system for some incidental personal purposes. This does not include uses requiring substantial expenditures of time, uses for profit, or uses that would violate company time or equipment policies. Such messages become the property of the company and are subject to the same conditions as company Email.

Employees may encrypt their Email and files only with the use of company approved software. The company may require the retention of any keys necessary to access encrypted messages, or may otherwise limit the degree of protection provided by such encryption.

Emails must not contain offensive, threatening, or harassing statements or language including disparagement of others based on their race, color, national origin, sex, sexual orientation, age, disability, religious or political beliefs, or any other protected classification.

Sending, saving, or soliciting sexually oriented messages or images are not permitted through the company Email system.

Sending chain letters, gambling or engaging in any other activity in violation of local, state or federal law are not permitted through the company Email system.

Regularly delete your older Emails, which are no longer necessary for retention purposes.

The company may engage in monitoring of Email messages only in specific instances in which there is good cause for such monitoring, or some legal obligation to do so. In these cases, the company will follow procedures to establish the existence of such cause or obligation and to assure that any monitoring is limited to that reasonably required under the circumstances.

Violation of this policy can result in disciplinary action up and including termination and/or legal action if warranted.
